About the Role

Reporting to the Sales Operations Manager, you’ll play a critical role in supporting the systems, processes, and operational flow that power our sales success. This role is ideal for someone with strong construction industry knowledge who thrives on accuracy, speed, and continuous improvement.

You’ll be a central driver of progress behind the scenes – tracking job flow, liaising with builders, ensuring compliance, and refining our operational ecosystem. We work across platforms like HubSpot, Microsoft 365, and Monday.com, and we’re actively investing in tech, automation, and AI to build scalable systems that empower our team and enhance the customer journey.

You’ll be encouraged to champion new process ideas, identify inefficiencies, and work closely with the Sales Operations Manager to implement upgrades that make the team faster, more accurate, and more scalable.

This is a high-output, detail-critical role where your work directly contributes to our growth, customer experience, and reputation.

You’ll:

  • Maintain and organise builder pricing, documentation, and processes using MS Teams
  • Use tools like HubSpot, Monday.com, and Microsoft Excel/SharePoint to track job status, manage data, and streamline workflows
  • Ensure compliance on all sketch and estimate submissions and track their progress
  • Support the sales team with timely sketch and estimate documentation
  • Liaise with builders regularly to maintain visibility over project timelines
  • Monitor finance approvals and liaise with finance brokers and builders accordingly
  • Step in with client communication as needed to ensure a seamless experience
  • Develop and maintain builder specification comparisons for internal use
  • Assist in designing and refining a scalable end-to-end process from sketch to site start
  • Contribute to exclusive land stock tracking, packaging, and listing support (e.g. Realestate.com.au)
  • Assist with onboarding new team members, including tech and process setup
  • Collaborate on reporting, data entry, and extracting insights from sales metrics
  • Work with the Sales Operations Manager to champion new process ideas, improve workflows, and implement automation and system upgrades
  • Actively identify opportunities for continuous improvement and better ways of working

Who You Are

You’re process-obsessed, naturally organised, and comfortable juggling multiple priorities. You move fast without sacrificing detail, and you’re always thinking about how things could be done better. Most importantly, you understand the building industry and what it takes to get a job through pre-construction without delays.

You’ll bring:

  • 2+ years’ experience in residential construction in either estimating, drafting, client liaison, or contracts admin
  • Deep understanding of the pre-construction and construction lifecycle, compliance, and builder operations
  • Proven ability to multi-task, problem-solve, and work well under pressure
  • A mindset focused on efficiency, structure, and continuous improvement
  • High proficiency in Microsoft 365 (Excel, Teams, SharePoint)
  • CRM experience (HubSpot preferred) and familiarity with project tools like Monday.com
  • A strong affinity for technology, automation, and system thinking
  • Exceptional attention to detail and pride in getting things right, first time
  • A commercial mindset – you understand how good processes support great outcomes
  • Strong communication skills – with internal teams, clients, and external stakeholders
  • A self-starter who thrives in fast-paced environments, meets tight deadlines, and works autonomously
