We are seeking a highly organized and detail-oriented Senior Sales Operations Analyst to join our team. The ideal candidate will play a key role in supporting the sales operations, ensuring the smooth running of our CRM (Salesforce), assisting in event coordination, managing wholesaler commission reporting, and contributing to various administrative tasks. You will work closely with the National Sales team and collaborate with other departments, such as Marketing, Compliance, and Investment, to provide actionable insights and enhance sales processes.

Key Responsibilities

Salesforce & Reporting

  • Maintain and update sales and activity dashboards on Salesforce, providing weekly reports for the Managing Director and National Sales team.
  • Monitor Salesforce activities and identify opportunities for process improvements and system enhancements.
  • Build and customize Salesforce reports to streamline data access and reporting.
  • Manage webinars and marketing campaigns, tracking attendance, activity, and sales impact.
  • Generate and manage leads from marketing campaigns, including tracking opens and clicks from promotional email blasts.
  • Perform regular data clean-up tasks using Dataloader and update CRM records as necessary.
  • Record off-book transactions and perform trades reversal adjustments in Salesforce.
  • Generate year-end reports, assess performance, and contribute to business planning initiatives.
  • Run Apex jobs to resolve data import issues and liaise with Premier Support when required.

Approval Workflows, Compliance & Documentation

  • Oversee Mutual Fund Sponsored Event (MFSE) approvals and communicate with dealers as per National Instrument 81-105.
  • Review event attendee lists and dealer approvals for compliance.
  • Manage charity donation paperwork and coordinate dealer conference pre-approvals, reimbursements, and administrative tasks.
  • Ensure adherence to sales practice limits, co-op policies, and compliance requirements for events and advisor presentations.
  • Track and report advisor spending quarterly and annually.

Wholesaler Commissions

  • Prepare and submit quarterly commission reports to the Finance team in a timely manner.
  • Track New Buyers and prepare detailed reports on buyer activity each quarter.
  • Coordinate with dealers to allocate Flow Through LP sales to wholesalers and prepare related commission reports.

Event Coordination

  • Organize and coordinate national events and roadshows, ensuring smooth execution.
  • Book and coordinate travel logistics for the Managing Director, Portfolio Managers, including flight arrangements and travel accommodations.
  • Manage event logistics, including venue bookings, RSVP tracking, event spending limits, and ensuring timely presentation materials from Marketing.
  • Collaborate with Marketing to ensure presentations meet compliance standards for all events.

Client Service

  • Monitor the Sales inbox and respond to advisor and investor inquiries within 24 hours.
  • Manage the Sales phone line and provide prompt responses to all incoming inquiries.

General Administration and Ad-Hoc Duties

  • Oversee shipping packages and inventory of promotional items, ensuring accurate tracking and distribution.
  • Coordinate with IT for any technology-related issues or needs on behalf of the sales team.
  • Maintain and manage the Master Sales Calendar for the team.
  • Organize quarterly internal Sales Conferences, including agenda preparation and catering arrangements.
  • Update process date filters on Salesforce following long-weekends and assist with any ad-hoc CRM tasks.
  • Support sales coordinators and wholesalers with CRM-related inquiries and administrative or operational work.
  • Assist with any new team member onboarding requirements.
  • Supervise and guide summer interns as required.

Functional Competencies

  • Bachelor’s degree in Business Administration, Marketing, or a related field (preferred).
  • Proven experience (3+ years) in sales operations, CRM management (Salesforce), or a similar role.
  • Strong proficiency with Salesforce Sales Cloud, including reporting and analytics, data maintenance, and system improvements.
  • Having or working towards your CSC (Canadian Securities Course) would be an asset.
  • Excellent organizational skills with the ability to manage multiple projects and deadlines simultaneously.
  • Exceptional attention to detail and ability to work with large datasets.
  • Experience in event coordination, including logistics, bookings, and planning.
  • Strong communication skills, both written and verbal, with the ability to interact with cross-functional teams and clients.
  • Ability to manage sensitive compliance and regulatory requirements.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint), particularly in reporting and data analysis.
  • Ability to work both independently and as part of a collaborative team.
  • A proactive attitude with strong problem-solving abilities and a solutions-oriented mindset.
