Sales Operations Coordinator

Location: Jacksonville, FL

Position Status: Contract (Monday – Friday | 8:00 AM – 5:00 PM)

Pay Rate: $18/hr

Position Description

We are seeking a detail-oriented and highly organized Sales Operations Coordinator to support daily sales and administrative operations in a fast-paced environment. This role is ideal for professionals with experience in sales support, order processing, EDI transactions, administrative coordination, and records management.

The Sales Operations Coordinator plays a critical role in ensuring accuracy, compliance, and efficiency across sales operations. You will manage sales orders, maintain documentation for audits, support reporting needs, and collaborate cross-functionally with sales, warehouse, and administrative teams.

Key Responsibilities

  • Process and manage EDI sales orders accurately and efficiently.
  • Coordinate and process large chain and warehouse orders.
  • Maintain records and prepare operational and sales reports as directed.
  • Utilize document management systems (e.g., OnBase) to scan and maintain delivery invoices and pickup records.
  • Support audit preparation by collecting documentation for internal audits, independent audits, customer history audits, sales audits, and regulatory audits (including TABC compliance).
  • Log and track sales representative deliveries and maintain delivery records for audit compliance.
  • Research product information (e.g., wine vintages) in collaboration with warehouse teams.
  • Maintain organized filing systems for correspondence and documentation.
  • Manage ordering and distribution of office and janitorial supplies.
  • Provide backup receptionist coverage when needed.
  • Perform additional administrative and clerical duties as assigned.

This role requires strong data accuracy, time management skills, and the ability to work collaboratively across departments.

Required Skills/Education

  • High School Diploma or GED required.
  • 1+ year of experience in sales operations, administrative support, order processing, data entry, or clerical support, or equivalent combination of education and experience.
  • Experience processing EDI orders or working within ERP/order management systems preferred.
  • Strong proficiency in Microsoft Office (Excel, Word, Outlook).
  • Experience with document management systems (OnBase or similar platforms) preferred.
  • Excellent organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to handle confidential information with discretion.
  • Ability to multitask and meet deadlines in a deadline-driven environment.
  • Collaborative mindset and customer-service orientation.
