Overview

The Sales Operations Coordinator provides essential tactical and administrative support for chain customer operations in Florida. This position focuses on order processing, account maintenance, delivery coordination, and operational reporting to ensure seamless service to chain customers. The coordinator serves as a critical operational link between SGWS systems, chain customers, and internal teams including operations, licensing, and trade development to maintain accurate account information and efficient order fulfillment processes.

Primary Responsibilities

  • Process various types of chain orders including EDI/HVOE orders, manual warehouse orders, manual club orders, and B&H orders to ensure accurate and timely fulfillment
  • Coordinate with licensing teams for setup of new chain accounts, including Fintech
  • Maintain AS400 item registry for all assigned chain accounts, ensuring accurate product information and system updates
  • Update and maintain EDI tables for all chain customers to ensure proper electronic data interchange functionality
  • Research and resolve billing errors by investigating discrepancies and coordinating corrections with appropriate teams
  • Verify transmit match accuracy between SGWS systems and chain customer systems to ensure data integrity
  • Coordinate delivery logistics with Operations and Depot teams to ensure timely and accurate product delivery to chain locations
  • Provide out-of-stock (OOS) details and updates for the next billing cycle to maintain accurate inventory and billing information
  • Review allocated item setup configurations to ensure proper billing procedures and accuracy
  • Communicate billing needs and requirements with Trade Development teams to support promotional activities
  • Provide account coordination support as needed across multiple touchpoints including salesforce systems, chain headquarters, and individual store locations
  • Maintain accurate records and documentation for all account activities and system updates
  • Support troubleshooting efforts for order processing issues and system discrepancies
  • Assist with special projects and administrative tasks related to chain customer operations
  • Perform other job-related duties as assigned

Minimum Qualifications

  • High school diploma or equivalent required
  • 1-2 years of administrative, customer service, or operations experience preferred
  • Strong attention to detail and accuracy in data entry and record keeping
  • Basic proficiency in Microsoft Office Suite, particularly Excel
  • Excellent organizational skills with ability to manage multiple tasks and priorities
  • Strong communication skills for coordinating with internal teams and external customers
  • Ability to learn and work with various computer systems including EDI, AS400, and CRM platforms
  • Customer service orientation with problem-solving mindset
  • Ability to work independently and follow established procedures and processes

Physical Demands

  • Physical demands with activity or condition for a considerable amount of time include sitting and typing/keyboarding using a computer (keyboard, mouse, and monitor) or mobile device
  • Physical demands with activity or condition may occasionally include walking, bending, reaching, standing, and stooping
  • May require occasional lifting/lowering, pushing, carrying, or pulling up to 20lbs
