Overview

We are seeking a reliable and well-organized Finance & Sales Operations Coordinator to support day-to-day business operations. This role combines financial administration with essential support for sales operations, offering a unique opportunity to contribute across functions within a growing, fast-paced organization.

The ideal candidate is detail-oriented, proactive, and comfortable juggling multiple responsibilities. You’ll be responsible for maintaining accurate financial records, supporting internal processes, and assisting in the coordination of sales activities.

Key Responsibilities

Finance & Administration (60%)

  • Maintain accurate financial records using QuickBooks Online (QBO) and Hubdoc
  • Reconcile monthly bank and credit card statements
  • Process accounts payable and receivable, including invoices and vendor payments
  • Prepare monthly financial summaries for internal review
  • Support cash flow tracking and budget updates
  • Assist with payroll preparation and ensure compliance with statutory obligations
  • Coordinate with external accountants or auditors as required
  • Track and categorize reimbursements and contractor commissions
  • Assist with new employee onboarding and documentation
  • Maintain organized systems for digital and physical files
  • Oversee general office operations and manage supplies

Sales Operations Support (40%)

  • Research and build prospect lists; maintain lead data
  • Draft basic correspondence and respond to incoming sales/admin inquiries
  • Coordinate team meetings, calendars, and internal communications
  • Support project timelines, task tracking, and deliverables
  • Assist with travel planning and event coordination as needed

Required Qualifications

  • Minimum 2 years of experience in bookkeeping, office, or sales administration
  • Proficient in QuickBooks Online, Microsoft Office Suite and Google Workspace
  • Familiarity with payroll systems and basic financial processes
  • High attention to detail and accuracy in work
  • Strong organizational and time management skills
  • Clear written and verbal communication
  • Professional discretion and ability to manage sensitive information

Preferred Qualifications

  • Bachelor’s degree, or diploma in business administration, accounting, or equivalent
  • Experience in a small or medium-sized business environment
  • Familiarity with CRA business account systems or basic HR functions is a plus

Job Types: Full-time, Permanent

Pay: $45,000.00-$55,000.00 per year
