Proposal & Marketing Manager
Reports to: Chief Strategy Officer
Location: Mesa, AZ Office
Salary Range: $90,000 – $135,000
Position Summary
ADC Water is seeking a Proposal & Marketing Manager to lead proposal development, pursuit support, and marketing activities for the company’s water and wastewater business. Reporting to the Chief Strategy Officer, this position manages proposal submissions and interviews, supports strategic growth initiatives, maintains marketing content and systems, and strengthens ADC Water’s brand and market positioning.
This is a growing role that will initially support project and operations-related tasks to learn the company, projects, and staff while collecting information for project history, employee resumes, case studies, testimonials, and other proposal and marketing content.
This is a hands‑on role requiring strong writing, organization, design judgment, and the ability to work effectively with executives, engineers, project managers, business development personnel, and teaming partners. The responsibilities listed below show a percentage of the time you’ll likely initially be spending on each focus. As the company and projects grow, you will transition into full time management of the marketing tasks.
Proposal Tasks (approximate initial focus = 25%)
- Review RFIs, RFQs, and RFPs; analyze requirements; create proposal schedules, outlines, compliance matrices, assignments, review milestones, and delivery calendars.
- Lead proposal submissions from kickoff through final delivery, including qualification packets, letters of interest, SOQs, proposals, leave‑behinds, and related pursuit materials.
- Develop client‑focused pursuit strategies, win themes, differentiators, key messages, proof points, case studies, and persuasive proposal narratives.
- Work closely with operations, technical staff, business development, graphics, subject matter experts, and teaming partners to gather technical content, resumes, project descriptions, organizational charts, graphics, schedules, and other information.
- Maintain proposal quality, compliance, consistency, version control, and on‑time submission while ensuring content and visual storytelling meet strict submittal guidelines.
- Lead shortlist interview and client presentation preparation, including presentation development, team coaching, rehearsals, and alignment of messaging with client needs.
- Support strategic pursuits, client and competitor research, go/no‑go evaluations, proposal tracking, lessons learned, and continuous improvement of the proposal process.
- Write, edit, and organize technical content into clear, persuasive proposal narratives.
Marketing & Branding Tasks (approximate initial focus = 25%)
- Maintain ADC Water’s brand, messaging, visual identity, document standards, brand guide, logos, templates, and related branded materials, including swag and merchandise orders.
- Support and improve external and internal communications, including the company website, social media platforms, newsletters, recruiting materials, corporate communications, conference materials, and award submissions and announcements.
- Maintain organized libraries of project experience, photographs, graphics, resumes, case studies, references, testimonials, and reusable marketing content.
- Track, coordinate, attend, and support ADC Water’s participation in industry conferences, client events, association activities, sponsorships, speaking opportunities, and other business development or market‑facing events.
- Manage awards and recognition efforts, including identifying award opportunities, tracking deadlines and requirements, coordinating submissions, maintaining a record of awards received, and promotion of selected awards or recognition.
- Improve marketing processes, templates, systems, technology, automation, and AI‑enabled workflows.
- Help develop and supervise future marketing, graphics, and proposal resources as the company grows.
Project Support Tasks (approximate initial focus = 50%)
- Support team members in preparing, compiling, tracking, and submitting project documents to state, county, and local agencies.
- Support project billing, accounts receivable, accounts payable, vendor invoices, consultant costs, and other project expenses.
- Maintain projects in ClickUp and other project management systems, including project setup, organization, updates, task tracking, deliverables, deadlines, permitting milestones, and follow‑ups.
- Organize project records, submittal packages, approvals, correspondence, and final project documentation.
Required Qualifications
- Bachelor’s degree in marketing, communications, business, journalism, English, or related field, or equivalent experience.
- 5+ years of proposal, marketing, or communications experience in engineering, construction, architecture, or similar fields.
- Proven experience managing RFQ and RFP responses under deadlines.
- Water, wastewater, environmental, or public infrastructure experience strongly preferred.
- Excellent writing, editing, proofreading, organizational, and communication skills.
- Ability to manage multiple deadlines and coordinate effectively with technical professionals and senior leadership.
Required Software Skills
- Microsoft 365: Word, PowerPoint, Excel, Outlook, Teams, SharePoint, Power BI, and OneDrive.
- Adobe Creative Cloud: InDesign, Acrobat Pro, Illustrator, and Photoshop.
Experience with video editing, web design, CRM, proposal‑management, or digital‑asset‑management systems is preferred.
