The Opportunity
We’re looking for a sharp, detail driven Sales Operations Manager to own how we process, invoice, and close the loop. You will own the full commercial operations cycle from retailer order processing through invoicing, payment collection, deduction resolution, trade spend management, and sales analytics, serving as the critical link between Sales, Supply Chain, and Finance. Responsibilities
- Order Management: Own the end-to-end retail order process including receiving, validating, and managing retailer purchase orders from entry through fulfillment confirmation. Ensure every order is processed accurately and flows cleanly to the Supply Chain team for execution.
- New Account Setup & Onboarding: Lead the operational setup for new retail accounts – item setup, EDI configuration, retailer portal activation, and compliance documentation. Ensure new accounts are live and transacting without friction.
- Retailer Portal Management: Maintain accurate product data, pricing, images, and compliance documentation across all retailer portals. Ensure Be LOVE is always shelf ready from a data and compliance perspective.
- EDI Management: Own electronic data interchange setup, maintenance, and troubleshooting with retail partners. Ensure order and shipment data flows accurately between systems.
- Invoicing & Accounts Receivable: Generate and send invoices aligned to shipment confirmation. Track payment status, follow up on past due balances, and reconcile with Finance. Ensure cash is collected on time and AR aging stays healthy.
- Deduction & Chargeback Management: Track, investigate, and dispute invalid retailer deductions and chargebacks. Identify root causes of recurring deductions and work cross-functionally with the Supply Chain team and Logistics Coordinator to prevent repeat issues. Protect margin from unnecessary leakage.
- Trade Spend & Promotion Tracking: Manage promotional budgets by retailer. Track trade spend, measure promotion ROI, and report on what’s working and what’s not. Ensure trade spend is accrued correctly and reconciled with Finance.
- Credit & Claims Resolution: Manage retailer credit requests, shortage claims, and damaged goods claims. Investigate, resolve, and document outcomes. Build processes that reduce claim volume over time.
- Retailer Compliance Standards: Own the knowledge of each retailer’s routing guide, compliance requirements, and chargeback policies. Communicate standards to the Logistics Coordinator and work together to ensure shipments are compliant. When chargebacks occur, investigate the root cause and drive corrective action.
- Sales Performance Reporting & KPIs: Define, monitor, and interpret key performance indicators across sales channels (revenue by channel, retailer, and SKU; order volume trending; fill rate; and OTIF metrics.) Build and maintain dashboards that inform strategic decisions and drive continuous improvement.
- POS & Sell-Through Analysis: Pull and interpret retailer sell-through data. Feed POS insights to the Supply Chain team to inform demand planning and S&OP. Identify velocity trends, regional performance patterns, and promotional lift.
- Sales Forecasting Support: Consolidate retailer demand signals, promotional calendars, and pipeline data into a forward looking demand view that feeds into the S&OP process.
- Fill Rate & OTIF Tracking: Monitor on-time, in-full delivery performance across all channels. Identify patterns in misses and partner with Supply Chain to close gaps.
- New Product & Pricing Launch Support: Partner with Commercialization to ensure new products are set up correctly across all retailer systems, pricing is loaded and validated, and the sales team has the information they need to execute at launch. Coordinate across Supply Chain and R&D to confirm launch readiness from a commercial operations perspective.
- Retailer Account & Sales Data Management: Manage and maintain the retailer account database and sales tracking systems, ensuring data accuracy and accessibility across the team. Serve as the system of record for retailer contacts, account status, pricing agreements, and order history.
- Cross-Functional Partnership: Serve as the primary interface between Sales Ops, Finance, and Supply Chain. Ensure demand signals flow to S&OP, invoicing aligns to shipments, and deductions are resolved with full context from fulfillment.
Qualifications
- 3-5+ years in CPG order management, accounts receivable, commercial operations, or trade management.
- Experience working with major retailer portals and EDI (Target, Costco, Walmart, UNFI/KeHE preferred).
- Strong understanding of trade spend, deductions, and retailer chargebacks in a CPG environment.
- Analytical and detail-oriented. Comfortable building reports, tracking KPIs, and turning data into action.
- Comfortable building processes from scratch in a fast paced startup environment.
- NetSuite or similar ERP experience preferred.
- Beverage or food CPG experience strongly preferred.
