You will manage and improve our CRM, follow up with prospects, coordinate quotations and targeted marketing activity, and give Directors and the sales team clear reporting on progress, risks and next steps.
Key responsibilities
Manage and improve the CRM
- Organise and maintain the CRM, sales database, contact records, activities, tasks, sequences, pipeline stages, dashboards and reports.
- Make sure prospects and opportunities are consistently categorised, including by geography, industry, company, job title and buying role, area of interest, lead source, campaign, sales stage and owner.
- Keep each active lead or opportunity up to date with the last contact, current status, next action and due date.
- Check data quality, identify missing or duplicate information, and follow up with colleagues when updates are needed.
- Flag overdue actions, stalled opportunities and records without a clear owner or next step.
- Recommend practical changes to CRM processes, fields, workflows and reporting so the team can use the system consistently.
Contact and support prospects
- Respond to enquiries and follow up leads by email and other approved communication channels where appropriate.
- Qualify prospects, confirm meetings, check attendance and agree next steps.
- Arrange meeting invitations and prepare short briefs with relevant prospect and opportunity information.
- Record customer conversations, questions, decisions and agreed actions in the CRM, then follow up as required.
- Organise notes and communicate agreed actions.
- Do not make unapproved pricing, commercial or technical commitments.
Coordinate sales and quotation activity
- Support the sales team by organising lead information, customer follow-up, meeting preparation and opportunity updates.
- Gather the information needed to prepare quotations or proposals, coordinate inputs and submit documents for review and approval.
- Track quotation and proposal status, follow up agreed actions and record progress in the CRM.
- Coordinate with Technical Sales and Business Analysts to collect opportunity updates and make sure the information is visible to the team.
Coordinate targeted marketing activity
- Work with Marketing to select suitable prospect groups and coordinate campaigns, events and follow-up activity.
- Help make sure messages and approved collateral are relevant to the prospect’s industry, role, interests and stage in the customer journey.
- Identify gaps in campaign materials and brief Marketing on the target audience, purpose and information needed.
- Set up or coordinate approved CRM sequences, review results such as replies, meetings booked and opportunities progressed, and recommend improvements to targeting, timing and content.
Provide reporting and coordination
- Prepare clear, useful CRM dashboards and reports for Directors and the sales and technical teams.
- Report on leads, opportunities by stage and owner, meetings, quotations, follow-up actions, overdue items and campaign results.
- Gather updates from colleagues and record changes promptly so the CRM shows what has happened, what is blocked and what needs to happen next.
- Use approved AI tools to assist with research, meeting notes, message drafts and analysis, while checking accuracy and protecting customer information.
Skills and experience
Essential
- Practical experience using a CRM and maintaining accurate customer or sales records, with the ability to keep the CRM current and trusted as the single source of truth for sales and marketing. Experience improving CRM processes, reports or workflows is strongly preferred.
- Ability to organise contact records, segment prospect lists, coordinate follow-up sequences and produce useful dashboards or reports.
- Ability to make sure every active opportunity has a clear owner, status, next action and due date.
- Excellent spoken and written English, with a personable, professional and friendly manner when speaking with customers.
- Confidence communicating actions and writing clear follow-up messages.
- Ability to provide timely and relevant follow-up on enquiries and prospects, staying persistent without being pushy.
- Strong coordination skills to confirm, prepare and follow up on meetings, with all actions recorded.
- Strong organisation, attention to detail and reliable follow-through, with a methodical and dependable approach to data and processes.
- Ability to coordinate several actions at once, follow up diplomatically and raise issues when decisions or approvals are needed.
- Takes initiative, notices when follow-up or information is missing, and acts early so opportunities do not stall.
- Ability to prepare clear reports that help Directors and the sales team see progress, risks and decisions needed.
- Confident use of Microsoft 365 and spreadsheets, with the ability to interpret basic sales and campaign results.
- Good judgement when using AI and other digital tools, including checking outputs before use.
Preferred
