Sales Operations Administrator

Job description:

The sales operations lead is responsible for the support of Sales Representatives. The main responsibility of this role is to ensure that our customers (both sales reps and accounts) are satisfied.

Essential Responsibilities:

· Process return, reconcile inventory & report results of Terminated Sales Reps

· Product launches

· Discontinues lists

· Recalled samples

· Order pad maintenance

· Marcolin master collections list

· Credits – discontinued samples & brand recalls

· New Rep Samples

· Frame Transfer Forms

· Sample Bag requests

· Stolen samples

· Sample shipment confirmations

· Write offs

Additional tasks:

· Expo’s/other trunk show kit ordering and delivery

· Samples being keyed and sent and then credited back to stock upon return to Sales Ops.

· Management of 2 sample sets for all brands, taking out disco’s and adding new releases upon receiving lists from Planning. We are to follow normal optical releases, however Planning will provide a separate list for Key Accounts Disco

· Meeting schedules

· Inventory of 2 sets plus trunk shows before shipping and inventory upon receiving back after every meeting

· Answer emails/ rep inquires

· Rep welcome kit and welcome letter – including generation on reports for new reps

· Run the 3 monthly reports – Account List, Monster Report, Hi Lo Report

· Set up new rep A/R accounts

· Sales Training Guide preparation & maintenance

· Rep forms – Fulfill rep requests & manage inventory of the forms

· Assist with setting up webinars when needed

· Sales Rep phone list maintenance

· SAP updates to rep contacts (address/phone)

· New rep set up on B2B

· Weekly follow up emails regarding company policies to new reps

· Preparation of letters to customers regarding new reps, when requested

· Monitor email of term reps for a few days
