Sales Operations Coordinator
Location: Jacksonville, FL
Position Status: Contract (Monday – Friday | 8:00 AM – 5:00 PM)
Pay Rate: $18/hr
Position Description
We are seeking a detail-oriented and highly organized Sales Operations Coordinator to support daily sales and administrative operations in a fast-paced environment. This role is ideal for professionals with experience in sales support, order processing, EDI transactions, administrative coordination, and records management.
The Sales Operations Coordinator plays a critical role in ensuring accuracy, compliance, and efficiency across sales operations. You will manage sales orders, maintain documentation for audits, support reporting needs, and collaborate cross-functionally with sales, warehouse, and administrative teams.

Key Responsibilities
- Process and manage EDI sales orders accurately and efficiently.
- Coordinate and process large chain and warehouse orders.
- Maintain records and prepare operational and sales reports as directed.
- Utilize document management systems (e.g., OnBase) to scan and maintain delivery invoices and pickup records.
- Support audit preparation by collecting documentation for internal audits, independent audits, customer history audits, sales audits, and regulatory audits (including TABC compliance).
- Log and track sales representative deliveries and maintain delivery records for audit compliance.
- Research product information (e.g., wine vintages) in collaboration with warehouse teams.
- Maintain organized filing systems for correspondence and documentation.
- Manage ordering and distribution of office and janitorial supplies.
- Provide backup receptionist coverage when needed.
- Perform additional administrative and clerical duties as assigned.
This role requires strong data accuracy, time management skills, and the ability to work collaboratively across departments.
Required Skills/Education
- High School Diploma or GED required.
- 1+ year of experience in sales operations, administrative support, order processing, data entry, or clerical support, or equivalent combination of education and experience.
- Experience processing EDI orders or working within ERP/order management systems preferred.
- Strong proficiency in Microsoft Office (Excel, Word, Outlook).
- Experience with document management systems (OnBase or similar platforms) preferred.
- Excellent organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Ability to multitask and meet deadlines in a deadline-driven environment.
