The Opportunity
FOCO is seeking a highly organised and customer-focused Sales Administrator to support our Account Managers and Sales Operations team.
This role plays a key part in ensuring customer orders are processed accurately, customer accounts are maintained, and communication flows smoothly between customers, suppliers, production, logistics, and internal teams. You will help support the full sales administration process from order entry through delivery coordination, while contributing to excellent customer service and operational efficiency.

What You’ll Do
Order Management
- Receive and process customer purchase orders accurately and ensure all orders are entered into the system correctly
- Maintain customer order portfolios, including updates and amendments to orders within the system
- Advise customers promptly of any changes to their orders, including stock availability, delays, substitutions, or adjustments
- Ensure all customer sales orders are linked to relevant purchase orders within the system and updated as needed
Customer Communication & Support
- Provide customers with weekly status reports to keep them informed of order progress
- Issue daily in-house sales reports to internal stakeholders
- Respond to customer queries in a timely, professional, and helpful manner
- Maintain clear communication with customers regarding shipping documentation and call-off requirements
Production, Logistics & Coordination
- Collaborate with Production and Logistics teams to ensure shipment dates are achievable and aligned with customer requirements
- Proactively flag potential delays, order issues, or stock challenges to internal teams
- Support solutions when conflicts arise between customer expectations, production timelines, and delivery requirements
- Help ensure orders progress smoothly from customer request through fulfilment
Sales Administration & Process Support
- Maintain accurate customer records, order documentation, and system updates
- Support Account Managers with day-to-day administrative tasks and customer account requirements
- Contribute to improving sales processes, reporting accuracy, and customer service standards
- Work as a proactive member of the FOCO team with a flexible and positive approach
What You’ll Bring
Required
- Previous experience in sales administration, customer service, order processing, or administrative support
- Strong attention to detail and accuracy when processing orders and maintaining records
- Excellent written and verbal communication skills
- Ability to manage multiple tasks and deadlines in a fast-paced environment
- Strong organisational skills and a proactive approach to problem-solving
- Comfortable working with internal teams, customers, and external partners
- Proficiency with Microsoft Office, especially Outlook and Excel
Preferred
- Experience supporting retail, wholesale, consumer products, or licensed merchandise accounts
- Experience working with ERP, Microsoft Dynamics GP or Microsoft Dynamics 365 BC
- Experience working with CRM, Microsoft Dynamics 365 Sales or Dynamics CRM
- Interest in football, sports merchandise, entertainment brands, or consumer products
- Experience coordinating with logistics, production, or supply chain teams
